How do I map custom fields?

Introduction

Although QuickBooks allows you to map custom fields, you cannot map them by name. Instead, you must map the field name in the order it appears in QuickBooks. Many e-commerce solutions contain a two column list of custom fields and their values. This guide will describe mapping those fields in order to QuickBooks.

What steps must I perform to bind ShipStation custom fields?

Out of box, Cloud Cart maps the custom fields to QuickBooks without any additional settings. If you add custom fields in QuickBooks, Cloud Cart will assign ShipStation custom field one to the first custom field in QuickBooks. Custom field two will be the second field and the third will map to the last field.

Here is a screenshot of the QuickBooks Online custom fields:

If you made PO the first custom field in QuickBooks, then custom field one in ShipStation will map to PO.

 

How do I map custom fields to QuickBooks Online?

You may use these steps if you use one of these solutions:

  1. Adobe Business Catalyst
  2. Shopify
  3. WooCommerce

In WooCommerce, each order contains an order_meta. This is a dictionary of custom fields and values. For WooCommerce users, check map custom fields underneath the transaction tab.

In the screenshot, PO is the first custom field and sales rep is the second. Here are the steps to map them:

  1. Login to Cloud Cart.
  2. Hover over the gear and click rules engine.
  3. Click add new rule.
  4. Since PO is the first field, you must map PO first. Our website contains a custom field called purchase order number. Here is the rule to map it.
  5. Since sales rep is second, we must add sales rep after. Using the PO rule as a guide, add the second mapping.

I want to hard code a value into a custom field. Is that possible?

If the field is second or third, you must add a rule before saying to enter a blank value. In this example, we will enter a blank value into the PO and a default value of BGS into the sales rep field:

  1. Login to Cloud Cart.
  2. Hover over the gear and click rules engine.
  3. Click add new rule.
  4. To make the first field empty, add this rule.
  5. Like the first rule, add a rule and make the map to the default value.
